Tvarka Sign first signature

A short guide to signing a PDF document with a qualified electronic signature (QES) for the first time. The same principles apply to Smart-ID, Mobile-ID, LT ID and USB/eID signatures.

What you need before you start

  • A Tvarka account.
  • Access to the legal entity you are acting for.
  • The document you want to sign.
  • A qualified Smart-ID, Mobile-ID, LT ID or USB/eID signature.
  • Active Tvarka Sign access and, if requested, a payment method or an initial balance.

If you use Smart-ID, make sure it is the qualified Smart-ID. Smart-ID Basic is not a QES.

1. Open Tvarka Sign

In your browser, go to https://sign.tvarka.pro/.

If you use the Windows app, open Tvarka Sign on your computer. The app uses the same Tvarka account but additionally works with a local Tvarka Sign folder.

At the top, select the correct legal entity. If you work with several companies, check this selection before uploading a document.

2. Check the status

Before uploading a document, look at the top bar and check that:

  • the Tvarka Sign product is selected;
  • an active account status is shown;
  • there is no license, payment or activation error;
  • the usage counters show the expected legal entity.

If the system asks for a payment method or an initial balance, take care of that before your first QES signing. A paid QES is counted only when the signing completes successfully.

3. Upload the document

  1. On the left, press New document ("Naujas dokumentas").
  2. Select a PDF file.
  3. Wait until Tvarka uploads and displays the document.
  4. Check the title and the preview.

The single-file limit is 50 MB. If you upload a DOCX, XLSX, ODT, TXT or image file, Tvarka may convert it to PDF or PDF/A before signing.

4. Sign with Smart-ID

  1. On the document page or in the list, press Sign ("Pasirašyti").
  2. Select Smart-ID QES.
  3. If asked, enter your personal code.
  4. Check that the verification code in the Tvarka window matches the one on your phone.
  5. Confirm the action in the Smart-ID app.
  6. Wait until Tvarka records the signature and updates the document status.

A successful action must end with a signed document. If you see an error, the signature was not registered; repeat the action only after removing its cause.

5. Download or open the result

In the browser, open the document page and download the final file.

In the Windows app, use Show in folder ("Rodyti aplanke") or open the document on your computer. Signed documents should appear in the local signed-documents folder.

After signing, check that:

  • the document is marked as signed;
  • the signature method matches what you selected;
  • the file opens;
  • signature validation shows no critical error.

6. If you need a second signer

For a PDF document, you can invite another signer from the document page.

In the invitation, provide the email address. One line can contain only an email address or a name with an email address. If you do not set an expiry date, the invitation is normally valid for 14 days.

You can sign an ADOC yourself or invite other signers. Send the next batch of invitations from the latest ADOC version.

7. If you will not change the document again

Use Protect ("Apsaugoti") when you want to lock the document workflow against unplanned changes.

Protect is not a substitute for signing. If the document requires a QES, it must be signed with Smart-ID, Mobile-ID, LT ID or USB/eID.

Most common first-time mistakes

The wrong company is selected

Go back to the legal entity selector at the top, select the correct legal entity and upload the document.

Your Smart-ID is Basic

Basic is not a QES. Activate a qualified Smart-ID account or use another QES method.

The verification code was not checked

If your phone shows a different code, do not confirm. Cancel the signing and start again.

Trying to sign an ADOC or ASiC-E with the internal Tvarka e-signature

ADOC and ASiC-E must be signed with a QES. Select Smart-ID, Mobile-ID, LT ID or USB/eID.

An old ADOC version is selected

After every signature, open the latest ADOC version and continue signing or send invitations from it.

The file is too large

The single-file limit is 50 MB. Reduce the PDF or separate the attachments.

Quick check

  1. The correct legal entity is selected.
  2. The document was the final version.
  3. A qualified signature method was used.
  4. The verification code was checked.
  5. The signed file was downloaded or opened.
  6. The system shows no signature validation error.
